Am I required to have my lecture/meeting captioned?

If a student, employee, or visitor requests captioning for a condition that requires captions or you are required to ensure the appropriate accommodation is available. 

Students:

Contact the DMS (Disability Management System) dukedms@duke.edu for questions about providing students accommodations to ensure the student has every accommodation they need.  

General public:

If your meeting is open to the general public, there is no way of knowing who might attend. As a result, you would not know if an attendee requires captions. It is always best to proactively provide accessibility options in these scenarios to ensure equal access to all people. 

Duke internal:

Otherwise, we still encourage meeting hosts to provide options to make your video conference more accessible, such as, live human-generated captions, live auto-captions, and post-meeting transcripts.  Read more on those options below. 
 

Who arranges for transcripts and captions?

The meeting Host must enable in Zoom. 

  • Free live auto-captions are available in Zoom IF the Host has their settings enabled BEFORE the meeting starts.
  • Free post-meeting transcripts are also available IF you enable them in your account settings BEFORE the meeting starts. Details are in the instructions below.
  • Arrangements for live human-generated captions and live auto-captions are the responsibility of each department or meeting host. The Host must enable settings before the meeting, then assign the human-captioner as the captioner.

Getting started:

HOW TO ENABLE LIVE AUTO-CAPTIONS IN ZOOM:

This is basically a set-it-and-forget-it option.  However, you must enable the setting before the meeting starts.  It will remember this setting for all your meetings. It is included free with your Duke Zoom account.  There is no compelling reason not to do this. 

HOW TO SCHEDULE LIVE HUMAN-GENERATED CAPTIONS IN ZOOM:

Zoom supports live human-generated captions. The meeting Host must arrange for a human captioner to attend.
